Glomec Lodges

Privacy Policy

Last updated: 3 October 2026

Glomec Lodges respects your privacy and handles personal information with care.

This policy explains how personal information is collected, used and protected when you visit our website, contact us, make a reservation or stay at Glomec Lodge or Glomec House in Myoko, Japan.

1. Who Is Responsible for Your Information

This website represents Glomec Lodge and Glomec House under the Glomec Lodges brand.

The accommodation operator responsible for handling your information is identified in the operator details below and in your booking confirmation.

Both properties are located in Myoko, Niigata Prefecture, Japan. The official accommodation operating entity details, registered business address, operating representative, and designated privacy contact are subject to formal confirmation prior to commercial booking launch. In the interim, all privacy and data handling inquiries are managed directly by lodge management via our Contact page.

2. Information We Collect

Depending on your interaction with us, we collect information such as:

  • Your name, email address and telephone number.
  • Your requested property, travel dates and number of guests.
  • Information you provide in enquiries and correspondence.
  • Reservation details, payment status and transaction references.
  • Guest registration information required by Japanese law.
  • Technical information generated when you use the website, such as your IP address, browser information and request logs, where collected by our website services.

Please provide only information relevant to your enquiry or stay. Do not send payment card details or passport copies through the general enquiry form.

If you share health, accessibility or dietary information to request assistance, we will use it for that purpose and obtain consent where required.

3. How We Use Your Information

We use personal information to:

  • Respond to enquiries and discuss availability.
  • Create, confirm and manage reservations.
  • Communicate payment arrangements and arrival instructions.
  • Provide accommodation and respond to requests during your stay.
  • Manage refunds, complaints and lost-property enquiries.
  • Maintain accounting and booking records.
  • Meet guest registration and other legal obligations.
  • Protect the website and our communications against misuse, fraud and security threats.

If we wish to use your information for a materially different purpose, we will provide the information and obtain any consent required by law.

4. Guest Registration

Guests are required to provide the information needed to complete the accommodation register under Japanese law.

Additional nationality and passport information, including a passport copy, may be required for foreign guests who do not have an address in Japan.

We use registration information to meet legal accommodation requirements and disclose it to authorised public bodies where legally required.

5. Service Providers and Information Sharing

We share information only where needed to provide our services, meet legal obligations or fulfil a request you have authorised.

Relevant recipients may include verified providers supporting our website, email communications, reservation administration, payments and accounting.

Our verified technical service providers include:

  • Cloudflare, Inc.: Provides website hosting, edge routing, content delivery, technical security, and privacy-preserving bot and spam protection (Cloudflare Turnstile) on website forms. See the Cloudflare Privacy Policy (opens in new tab).
  • Resend, Inc.: Provides transactional email delivery infrastructure for enquiries submitted through our website forms. Contact details and messages entered on the website are transmitted securely to Resend's API to deliver notifications to lodge management. See the Resend Privacy Policy (opens in new tab).
  • Google LLC: Provides typography via Google Fonts, and video hosting if you choose to play the video on our Myoko guide. See the Google Privacy Policy (opens in new tab).

We limit information shared with providers to what is necessary and take appropriate steps to supervise providers handling information on our behalf.

Where a disclosure requires your consent under applicable law, we obtain that consent unless a legal exception applies.

6. Overseas Processing

Some service providers may store or process information outside Japan.

Specifically, our website hosting, edge delivery and bot protection provider (Cloudflare, Inc.), our email delivery provider (Resend, Inc.), and typography service provider (Google LLC) are based in the United States and operate global server networks. When you visit this website or submit a contact enquiry, technical request information and submitted form contents may be transmitted to and processed on servers situated outside Japan.

Where this occurs, we take the steps required by applicable Japanese law, including obtaining consent and providing information about the overseas recipient where required, or ensuring that an applicable alternative legal arrangement is in place.

7. Cookies and Website Services

The website’s hosting, security and other verified services may process technical information when you visit.

The specific technologies and data practices used on this website are:

  • No Tracking or Advertising Cookies: We do not use Google Analytics, advertising pixels, or third-party behavioral trackers on this website.
  • Spam and Bot Protection (Cloudflare Turnstile): To protect our enquiry forms from automated spam and abuse without invasive visual puzzles, we use Cloudflare Turnstile. Turnstile evaluates browser telemetry and non-identifying technical signals at the edge to verify human interaction. It does not set persistent tracking cookies or track user behavior across third-party websites.
  • Browser Session Storage: To provide responsive local weather and mountain conditions without unnecessary network calls, the website caches weather data in your browser’s temporary session storage (sessionStorage). This contains no personal data and is cleared automatically when you close your browser tab.
  • Embedded Third-Party Video: The Snow Monkeys section on our Myoko guide uses a privacy-protective video facade. Third-party video code is not loaded when you view the page. If you choose to click the video player to watch the video, an embed from YouTube’s privacy-enhanced domain (youtube-nocookie.com) is activated, which may set functional cookies or storage to manage video playback.
  • Server Logging: Cloudflare processes standard server access logs (including IP addresses and request timestamps) to maintain website availability, mitigate denial-of-service attacks, and ensure network security.

You can manage cookies through your browser settings. Blocking some technologies may affect website features.

8. How Long We Keep Information

We retain personal information for as long as reasonably necessary for the purpose for which it was collected, including managing enquiries and stays, meeting statutory recordkeeping requirements and resolving disputes.

Different records may have different retention periods. When information is no longer needed, we delete it or securely dispose of it, subject to applicable legal requirements.

9. Keeping Information Secure

We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse and disclosure.

Access is limited to people and service providers who need it for their work. No internet transmission or storage system can be guaranteed completely secure.

If a personal information incident occurs, we will investigate and make notifications to affected individuals and the relevant authority where required by law.

10. Your Requests and Rights

Subject to applicable law, you may request access to personal data we hold about you, correction of inaccurate information, or cessation of use or disclosure where the legal conditions are met. Deletion may also be available in relevant circumstances.

Where processing relies on your consent, you may contact us to withdraw that consent for future processing.

Please contact us using the privacy contact details on this page. We may need to verify your identity before responding.

Some information must be retained to comply with legal obligations. We will explain any applicable limitations on your request.

11. Information About Other Guests and Children

If you provide information about other guests, please ensure that they know it is being shared and that you are authorised to provide it.

A parent, guardian or authorised adult should provide any information needed to arrange a child’s stay. We collect children’s information only where necessary for the reservation, their accommodation or legal requirements.

12. External Websites

Our website may link to booking platforms, tourism information and other external websites.

Those websites handle information under their own privacy policies. Please review their policies before submitting personal information.

13. Changes to This Policy

We may update this policy to reflect changes in our services, data handling or legal obligations.

The latest version will be published on this page with its revision date. Where required, we will provide additional notice or obtain consent for relevant changes.
