Terms & Conditions
These terms and conditions apply to reservations and stays at Glomec Lodge and Glomec House in Myoko, Japan, collectively referred to on this website as Glomec Lodges.
In these terms, “we”, “us” and “our” refer to the accommodation operator identified in your booking confirmation. “Property” means the accommodation you have booked.
Please read these terms before confirming your booking.
Any specific booking conditions supplied before your reservation is confirmed form part of your agreement with us. Where those conditions differ from these general terms, the specific conditions apply, subject to applicable law.
1. Reservations
A booking enquiry does not guarantee availability or constitute a confirmed reservation.
Your reservation is confirmed when we send written confirmation and any payment required to secure the booking has been received.
Please check your confirmation carefully, including your dates, guest numbers and accommodation details, and contact us promptly if anything is incorrect.
The person making the reservation must be at least 18 years old and authorised to book on behalf of the guests included in the reservation. They are responsible for sharing these terms and the house rules with their group.
2. Rates and Payments
The accommodation price, included services, applicable taxes, payment methods and payment deadlines will be provided before your reservation is confirmed.
Only services expressly included in your quotation or confirmation are included in the accommodation price. Any optional charges must be agreed separately.
If a required payment is overdue, we will contact you and provide a reasonable opportunity to resolve the issue before cancelling the reservation.
For reservations made through a third-party booking platform, the payment and cancellation conditions disclosed through that platform apply.
3. Changes and Cancellations
Please send requests to change or cancel a direct booking in writing using the contact details in your booking confirmation.
Changes depend on availability and may result in a different accommodation price. A change is confirmed only when we accept it in writing.
Winter Season Cancellation Policy
For winter-season reservations:
- More than 90 days before arrival: Payments received will be refunded minus the deposit, which is 30% of the total reservation cost.
- 90 days or less before arrival: No refund is available. The cancellation charge is 100% of the total reservation cost.
The winter-season dates applicable to your reservation will be specified before your booking is confirmed.
No-show
If you do not arrive for your reservation without cancelling, 100% of the total reservation cost will be charged.
Amounts already paid count towards the cancellation or no-show charge and are not charged again.
Other Reservations
For reservations outside the winter season, the cancellation conditions will be supplied before your booking is confirmed.
For bookings made through a third-party platform, the cancellation conditions disclosed through that platform apply.
All cancellation and no-show charges are subject to applicable Japanese law. Where a charge exceeds the amount legally recoverable, it will be reduced accordingly.
4. Check-in and Check-out
Your booking confirmation will specify the check-in and check-out times.
Early check-in and late check-out require prior agreement and depend on availability. Any additional charge will be disclosed before you agree.
Please let us know your expected arrival time and contact us if you are delayed.
Guests must complete the registration procedures required by Japanese law and provide the information and identification legally required for their stay.
5. Accommodation and Facilities
Your booking confirmation identifies the property reserved, the dates of your stay and the agreed number of guests.
Glomec Lodge
Glomec Lodge provides private guest rooms with shared facilities, including the kitchen and lounge.
Rooms are allocated by the lodge unless a particular room has been expressly confirmed in writing. Photographs may show representative rooms and facilities.
Please use shared areas considerately, clean up after use and follow instructions for appliances, waste disposal and equipment storage.
A room reservation does not provide exclusive use of the lodge unless this has been expressly agreed in writing.
Glomec House
Glomec House is booked as a private, whole-house stay. The house is for the exclusive use of the guests included in the confirmed reservation during their booked stay.
Please use the house, furnishings and equipment responsibly and follow the instructions provided for heating, cooking appliances, waste disposal and equipment storage.
Exclusive use does not include any locked storage, maintenance areas or other spaces identified as unavailable to guests.
Both Properties
Guest numbers must not exceed the agreed occupancy or the property’s permitted capacity.
Only guests included in the confirmed reservation may stay overnight. Additional guests and visitors require prior approval.
Facilities and services are those specified for the booked property. Facilities shown or described for one property are not automatically included at the other.
6. Guest Conduct and Safety
Please respect the property, our staff, neighbouring residents and, when staying at Glomec Lodge, other guests using the shared accommodation.
Guests must:
- Keep noise at a considerate level, particularly at night.
- Follow the smoking rules and use only designated smoking areas, where provided.
- Keep exits, corridors and emergency access routes clear.
- Follow fire safety instructions and never interfere with alarms or safety equipment.
- Use heating, cooking appliances and other equipment as instructed.
- Avoid illegal activity, threatening behaviour and conduct that endangers or seriously disturbs others.
Parties and events require prior written approval. Please contact us before booking if you wish to bring a pet or have any specific accessibility or assistance requirements.
Where permitted by Japanese law, we may refuse accommodation or end a stay for serious misconduct, unlawful activity or significant safety risks. Any resulting charges or refunds will be determined in accordance with applicable law and the circumstances.
7. Damage, Loss and Additional Cleaning
Please report damage, faults or accidents as soon as possible so that we can address them.
Guests may be responsible for reasonable, evidenced costs arising from damage, missing items or cleaning beyond normal use caused by their intentional or negligent actions, or those of their group.
Normal wear and tear will not be charged. We will explain any claim and provide supporting information before requesting payment.
8. Personal Belongings
Please take reasonable care of your luggage, valuables and equipment during your stay.
Report lost property promptly. If an item is found, we can discuss arrangements for its return. Any delivery costs will be agreed with you in advance.
Our responsibility for loss or damage to guests’ belongings is determined by applicable law.
9. Winter Conditions and Travel Disruption
Myoko experiences heavy snowfall, icy surfaces and changing mountain conditions. Please wear suitable footwear, use appropriate winter equipment and follow local safety advice.
Ski resort operations, snow conditions, transport services and other activities provided by third parties are outside our control and are not guaranteed as part of your accommodation booking.
If your booked property remains available but you cannot travel because of weather, transport disruption, illness or other personal circumstances, the cancellation conditions disclosed when you booked apply, subject to applicable law.
We recommend travel insurance that covers accommodation cancellation, disruption and any winter sports you intend to undertake.
11. Our Responsibility
We will exercise reasonable care in providing your accommodation and the services included in your booking.
Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for our intentional acts or gross negligence, or limits any mandatory rights you have under Japanese consumer law.
Any responsibility for injury, loss, damage or disruption will be assessed under applicable law and the circumstances of the event.
12. Privacy
We handle personal information in accordance with our Privacy Policy and applicable Japanese law.
Information may be used to manage your enquiry, reservation, payments and stay, and to meet legal guest registration obligations.
Please see our Privacy Policy for further details.
13. Questions or Problems During Your Stay
If something is wrong, please contact us promptly so that we have an opportunity to help.
For booking questions, special requests or concerns about these terms, please use our Contact page or the contact details in your booking confirmation.
14. Applicable Law and Changes to These Terms
These terms and your accommodation agreement are governed by Japanese law, without removing any mandatory consumer protections that apply.
We may update these terms for future reservations. The version supplied or made available when your booking was confirmed will apply to that booking unless a lawful change is agreed with you.
If any provision is found to be invalid or unenforceable, the remaining provisions continue to apply to the extent permitted by law.
